A compact checklist for international students, researchers and guests in Germany
A new year is a good time to tackle organisational issues in a structured manner. For international guests in Germany, health insurance, vaccination status, official deadlines and formal documentation play a particularly important role. 1) Organise your visa and insurance early
In many cases, a visa is required to enter Germany. An essential part of the application is proof of valid health insurance. It is important that insurance cover is in place from the first day of your stay. Failure to provide this proof may result in delays or rejections in the application process.

3) Important deadlines throughout the year
There are no fixed deadlines that apply equally to everyone. Deadlines are usually based on the individual start date of residence and the validity period of the respective documents.
Typical time frames are:
- Extension of residence permit: 6–8 weeks before expiry
- Review or extension of health insurance: 4–6 weeks before expiry
- Start of vaccination series: several months in advance
- Start of university: usually April (summer semester) or October (winter semester)
4) Keep proof of insurance handy
In Germany, insurance status is regularly checked, including for:
- Visas and residence permits
- Enrolment at universities
- Appointments with authorities
- Doctor’s visits
